Privacy Policy
Last updated: 1 April 2026
1. Who we are
TraceStax Ltd ("TraceStax", "we", "us") operates the background job monitoring platform available at tracestax.com and app.tracestax.com. This policy explains what data we collect, why, and how we handle it.
2. Data we collect
Account data. When you sign up we collect your name and email address via our authentication provider (Clerk). We do not store payment card numbers. Payments are handled by Stripe.
Telemetry events. Your background job workers send events (job name, status, duration, queue name, timestamps) to our ingest pipeline. We process and store these to power the monitoring features of the product. We do not require or encourage you to include personal data in event payloads.
Usage data. We collect standard web server logs (IP address, browser type, pages visited) for security and performance purposes. We use Umami, a privacy-focused, cookie-free analytics tool hosted on our own infrastructure, to understand aggregate page views and referral sources. Umami does not collect personal data or use cookies.
3. How we use your data
We use your data solely to:
- Provide and improve the TraceStax service
- Send transactional emails (alerts, billing receipts)
- Respond to support requests
- Meet legal and contractual obligations
We do not sell, rent, or share your data with third parties for marketing.
4. Data retention
Telemetry events are retained based on your plan: 7 days (Free), 14 days (Hobby), 14 days (Starter), 30 days (Pro), or unlimited (Enterprise). Account data is retained for the life of your account and deleted within 30 days of account closure upon request.
5. Sub-processors
We use the following sub-processors to operate the service:
- Cloudflare Inc (infrastructure, edge compute, and transactional email)
- Clerk Inc (authentication)
- Stripe Inc (payment processing)
All sub-processors are contractually required to handle data in accordance with applicable privacy law.
6. Your rights
Under UK GDPR and applicable data protection law you have the right to access, rectify, erase, restrict, or port your personal data. To exercise any of these rights, email us at privacy@tracestax.com. We will respond within 30 days.
7. Cookies
We use only essential cookies required to maintain your authenticated session. We do not use advertising or tracking cookies. Our analytics tool (Umami) is cookie-free.
8. Changes to this policy
We may update this policy from time to time. Material changes will be notified by email to registered account holders. Continued use of the service after changes take effect constitutes acceptance.
